Introduction

This is the privacy statement of De Romein Groep B.V. and the companies falling under the same (collectively: De Romein). In this statement De Romein provides information about the personal data that are processed of data subjects in the context of the services and websites of De Romein. De Romein handles your data diligently and ensures that each and every processing act complies with the applicable legislation and regulations. 

This privacy statement was lastly changed on 6 December 2019. In case of changes of this privacy statement the changed privacy statement is posted on the website of De Romein. 

When is this privacy statement applicable?

This privacy statement is applicable to any and all personal data that De Romein collects and processes of data subjects in the context of the use of and the visit to our websites.

If you are under the age of 16 then you can only supply personal data to De Romein if one of your parents or a legal representative who read this privacy statement gives us consent for this on your behalf. We therefore kindly request you not to supply data if you have not obtained the said consent.

Our websites may contain links to other websites. We are not responsible for the content or the privacy protection of these websites. We therefore advise you to always read the privacy statement of the relevant website.                                                                                             

Who is responsible for your data?

De Romein Groep B.V., having its registered office at the Transportweg 62 in (9645 KX) Veendam, and registered with the Chamber of Commerce under number 02094267, is the controller for the processing of personal data as described in this privacy statement.

What data do we process and for what purpose?

Use of the website
In case a data subject visits the website of De Romein, certain general information of the system of the said data subject is requested. General information that is processed does, in any case, consist of software used (e.g. browser type and the operating system), user information (e.g. pages visited and the date and time of access) as well as the IP address and the internet provider of data subjects.

To the extent that there is question of processing of personal data, it is noted that they are not used by De Romein for purposes other than the correct presentation of the content of the website and the optimisation of the content of the website(s) and the advertisements of the De Romein. The aforementioned data are anonymised as much as possible.

Contact form
If you complete the contact form on our website then you leave personal data behind with us. We ask for your name, your email address and your message. These data are exclusively used to contact you.

These data are processed with your consent. We therefore ask consent in advance for the processing of your personal data. We do this by means of a tick during the process of sending the contact form.

Order
When you place an order with us, we need certain data from you in order to deliver your order, to be able to invoice and to keep you informed of this order. We also need data for potential returns and warranties. To this end we process your name, email address, address (addresses), payment details and telephone number.

These data are required to implement the agreement that you concluded with us. By law, we must retain these data for a period of seven years after the order.

Applications
If you apply with De Romein then you supply certain data about yourself to us. De Romein uses these data (as supplied to us by you) for the benefit of the application process. De Romein does not retain your personal data longer than four weeks after the application process has come to an end, unless your gave consent to retain the said data longer. Storage and use of personal data only takes place by the HRM Department. The HRM Department works with procedures and instructions to safeguard the lawful processing of personal data.

Analytics
De Romein uses Google Analytics to keep track of how effective our Adwords advertisements with Google search result pages are and how visitors use our website. The information that is consequently obtained, which includes the IP address, is transferred to Google. These data are stored by Google on servers that are located in the United States. For more information about this you can read the privacy policy of Google. De Romein configured Google Analytics on the basis of the instructions of the Dutch Data Protection Authority. As a consequence, the influence on the privacy of our visitors is minimal.

The information is used by Google to provide De Romein with reports about the website, to analyse how the website is used and to offer its advertisers information about the effectiveness of their campaigns. This information can be made available by Google to third parties to the extent that third parties process the information on behalf of Google or if Google is by law held to provide information. De Romein has no influence on this. De Romein did not give Google consent to use the obtained analytical information for other services of Google. 

To offer you a good service it is necessary for De Romein to dispose of the aforementioned data of you. The supply of your personal data by you to De Romein is a contractual and necessary condition to conclude an agreement with De Romein. If you do not supply the data then it is, unfortunately, not possible to conclude an agreement with De Romein. 

Cookies

We use (functional and analytical) cookies on our websites that are stored by your browser on your device, e.g. your computer, tablet or telephone. 

These cookies store information (e.g. the settings of your PC and the preferences set by you) to facilitate a subsequent visit to our website. This information does not contain name or address details or other personal data. You can configure your browser in such manner that you do not receive cookies during your visit to our website. In that case you can, however, not use all possibilities of our website or you may not have access to parts of our website. De Romein does not use special software or cookies to retrieve the identity or the conduct of the individual visitor.

With your consent we place “tracking cookies” on your computer. We use these cookies to keep track of the pages that you visit in order to create a profile of your online behaviour. Again, this profile is not linked to your name, address, email address and the like, it merely serves to coordinate advertisements with your profile in order that they are as relevant as possible to you.

How long do we retain your data for these purposes?

Your personal data are not retained any longer than reasonably required in consideration of the purposes for which the data were collected.

De Romein can opt not to (immediately) erase certain personal data if this is, having regard to statutory retention periods, required on the part of De Romein and the retention of the said data does not disproportionately prejudice your privacy.

What parties have access to what data?

It may be that during the provision of its services De Romein shares certain personal data with third parties if this is reasonably required. These parties are:

  • IT partner for hosting and maintenance of website, app, system;
  • Other third parties for the performance of the activities of De Romein, e.g. printing companies, email and post processors. To the extent that the said third parties process your data during the performance of the relevant services and business operations, they do this in the capacity of processor for De Romein and De Romein took the required technical and organisational measures to ensure that your data are exclusively processed for the aforementioned purposes.

With the (external) parties who have access to personal data the data are (where possible) anonymised and separate agreements are concluded to safeguard confidentiality and lawful handling of personal data.

Without consent we shall never sell, distribute or lease the personal data to third parties who have the purpose of using the data for direct marketing. Only if De Romein is held to do so by law are personal data disclosed to supervisory authorities, tax authorities and investigative authorities. As the occasion arises, De Romein shall take appropriate measures that are reasonably required to safeguard that your data are protected in the best way possible.

How do we secure your data?

De Romein handles your personal data with the utmost care. We took various appropriate technical and organisational measures to secure your personal data against loss or unlawful use that are, having regard to the relevant costs and the nature of the personal data, reasonable. For instance, we secure your systems, networks and applications according to the applicable standards for information security in the course of which De Romein ensures that the confidentiality of the personal data is safeguarded and the integrity and availability of the personal data are enforced.

Transfer outside the EU

Your personal data cannot be transferred to countries outside the European Economic Area. Upon the transfer of your personal data outside the European Economic Area De Romein shall take appropriate measures that are reasonably required to safeguard adequate protection of your personal data.

Questions and requests for information, correction and erasure

As a data subject you have the following rights:

  1. right to information about the personal data that are processed about you;
  2. right to insight into processed personal data;
  3. right to rectification;
  4. right to erasure of your personal data;
  5. right to protection of the processing of your personal data;
  6. right to data portability to an organisation designated by you in a structured, common and machine-readable form;
  7. right to object to the processing of your personal data;
  8. right to revoke your consent to the processing of your personal data.

 

If you have complaints about the manner that we handle your data then please inform us in order that we can work on it. You are also entitled to submit a complaint to the Dutch Data Protection Authority. You can submit a complaint on the website of the Dutch Data Protection Authority.
